Guidelines for Oral Presenters and Poster Authors
Please read the instructions below carefully to ensure a smooth and successful presentation experience at ESWW2026.
- Accepted file formats: Microsoft PowerPoint (.ppt or .pptx) or Adobe PDF (.pdf).
- Aspect ratio: 16:9 (widescreen).
- Templates: No specific template is mandatory. Please use clear, readable fonts and sufficient contrast to ensure that your slides are suitable for both on-site projection and online streaming.
- Submission location: Presentations must be submitted directly to the Speaker Ready Room on site.
- Submission deadline: All presentations must be delivered to the Speaker Ready Room at least 2 hours before the start of the relevant session.
- Early-morning sessions: For presentations scheduled in the early-morning sessions from 09:00 to 10:00 CET, slides must be submitted during the evening before.
- Laptop policy: Presenters are not permitted to use their own personal laptop or computer. All presentations must be delivered to and run from the dedicated AV system through the Speaker Ready Room.
- Connection details: Specific connection instructions, including the joining link and technical guidance, will be sent individually to each remote presenter according to their assigned session.
- Presentation file: Remote presenters will share or load their presentation directly during their session. However, you are strongly encouraged to send your presentation file to the organizing team in advance so that its functionality can be checked.

- Internet connection: A stable internet connection is required; a wired/Ethernet connection is recommended.
- Equipment: Please use a PC or laptop with an updated operating system and browser/software.
- Audio and video: A working microphone and camera are required. Please join the session from a quiet environment.
- Format: Printed poster.
- Maximum size: A0 portrait (841 × 1189 mm/ portrait layout).
- Setup and placement: Authors must strictly follow their assigned poster board number/position and the designated setup and dismantling schedule.
- Fixing materials: The use of pins, tacks, or nails is strictly forbidden. Double-sided adhesive tape/stickers will be provided by the organizers on site.
- Upload platform: Authors who wish to make their posters available online will have the option to upload an e-poster to the conference platform. The link to the e-poster upload platform will be made available shortly on the conference website.
- File format: Single-page PDF (.pdf).
- Orientation and aspect ratio: 9:16 portrait layout. Recommended resolution: 1080 × 1920 px.
- Upload platform: The link to the e-poster upload platform will be made available shortly on the conference website.
- Upload deadline: 23 October 2026.
- Conference App: All e-posters will be accessible to participants through the official Conference App.
- Live presentation slots: There will be no dedicated live time slots for remote poster presentations.
- Questions and comments: Participants can ask questions or submit comments directly to the poster author at any time through the Conference App.
- Author responses: Authors will receive these inquiries and can reply directly.
